N8N: the open-source alternative for workflow automation

Imagine your business processes simply running automatically: incoming enquiries are instantly categorised and routed to the right department. Invoices are captured automatically and posted into your accounting. New leads from the contact form land straight in the CRM and trigger a personalised email sequence. All of this without a single line of code. That's exactly what N8N makes possible — an open-source platform for workflow automation that I use for my clients and in my own processes.

What is N8N and how does it work?

N8N (pronounced "n-eight-n") is a workflow automation platform with a visual editor. You connect various apps and services by drag-and-drop into automated workflows. Each workflow consists of nodes that carry out actions: fetching, processing, transforming and passing data on to other systems. N8N supports over 400 integrations — from Google Workspace and Microsoft 365 to accounting software, Slack, Telegram and any REST API.

What makes N8N special: it can be run entirely on your own server. Your data never leaves your infrastructure. For Austrian companies with strict data protection requirements, that's a decisive advantage over cloud-only solutions such as Zapier or Make.

Why N8N is ideal for SMEs

The most important benefits of N8N for mid-sized business:

  • Cost-efficient: the community edition is free. No fees per workflow or execution, as with Zapier. With hundreds of automated operations per day, you quickly save thousands of euros a year.
  • Self-hosted: full control over your data. GDPR compliance is assured, because no data is transferred to third-party servers.
  • Flexible: alongside no-code building blocks, N8N also lets you embed your own JavaScript or Python code. This makes it possible to model even complex logic.
  • Extensible: through API integration, practically any system can be connected — including industry-specific software that has no standard integration.
  • Visual: the graphical editor makes workflows understandable for all employees — not just technical staff.

Practical examples: workflows that show immediate impact

Automated invoice processing

An incoming invoice by email is detected automatically, the relevant data (amount, supplier, due date) is extracted using AI and posted into the accounting software. The responsible employee receives a notification for approval. What previously took 15 minutes per invoice, the workflow handles in seconds.

Lead management and CRM synchronisation

When someone fills in the contact form on your website, the following happens automatically: the lead is created in the CRM, a personalised confirmation email is sent, the responsible sales rep is notified via Slack and a follow-up task is created for the next working day. No lead gets lost any more, and the response time drops from hours to minutes.

Employee onboarding

A new employee is created in the HR system. N8N automatically creates the email address, sets up access to the relevant tools, sends welcome emails with onboarding documents and creates tasks for the onboarding manager. A process that normally takes half a day runs in minutes.

The best automation candidate is a process you're carrying out manually for the third time. If you do something regularly that follows clear rules, N8N can probably automate it.

N8N vs. Zapier vs. Make: which tool suits you?

Zapier is the market leader and offers the easiest entry, but it quickly gets expensive with heavy use. The Professional plan starts at 49 dollars per month for just 2,000 tasks. Make (formerly Integromat) offers a better price-performance ratio and a powerful visual editor, but is likewise a pure cloud service.

N8N, on the other hand, can be self-hosted for free. For a typical SME with several thousand automated operations per month, N8N easily saves 500 to 2,000 euros a month compared with Zapier. On top of that comes full data control and the ability to tailor N8N precisely to your own needs. The only drawback: the initial setup requires technical know-how for the server hosting.
